Decision details

Decision to commence the implementation of the Capita One EDM – being the document management system - for use by Council Tax, Business Rates and Housing Benefit teams

Decision Maker: Chief finance officer

Decision status: Recommendations Approved

Is Key decision?: No

Is subject to call in?: No

Purpose:

The Revenues and Benefits teams currently use the IDOX system to store documents in relation to Council Tax, Business Rates, Housing benefits, Council Tax Reduction and Overpayments.

The IDOX system as used by the Revenues and Benefits is no longer supported by the supplier and is no longer fit for purpose due to changes in working processes and the introduction of Universal Credit.

Following an independent options appraisal the Capita One EDM (document management system) that is integrated with the Capita Academy system that is used by the Revenues and Benefits teams to administer Council Tax, Business Rates, Housing Benefits, Council Tax Reduction and Overpayments is the preferred replacement system that will provide an improved process to streamline work within the teams.

To convert from IDOX to EDM requires novating customer records to the Capital module which is more user friendly and has the ability to automate tasks supporting opportunities to streamline and automate processes within the revenues and benefits team.
